How Can I Automatically Apply Custom Fields To A Workspace Folder?

The process of consistently applying custom fields to the patents in a Workspace folder can become very tedious, especially if it contains many of them. Because of this, we have made it possible for you to set rules on custom fields, which will allow you to quickly apply custom field values for all the patents within a Workspace folder.

These rules are available for both drop-down menus and trees and can be setup as follows:

 

Within a folder, find the "Custom fields" tab and click on the option of "Create custom field".

 

Type in the name of the field and select the type of custom field you would like to use:

 

The "Scope of tagging" option is the interesting part of this custom field when it comes to usability:

By selecting "Global", the custom field value assigned to a record in this workspace may be visible in other workspaces where the record exists.

By selecting "Workspace-specific" the custom field value assigned to a record in this workspace will NOT be visible outside of this workspace.


Please note that the scope of tagging cannot be changed after a custom field is created.

 

If you have selected a "Drop down tree" field type, you can apply the rules of the drop down tree directly on the column's little arrow, by selecting "Edit" and then "Update":

 

 

Now that you created a custom field that can be added to multiple workspaces and folders (if you have used the scope of tagging "Global"), you can add this custom field to multiple folders at once. To do this, click on the top left "cogwheel" of your workspace:

 

 

Depending on which view you are using, you can either change the Table View, the Standard View or the Full Images view independently. Click on the edit button to edit the view you want to change:

 

Under the "Custom fields" tab, you can now select all of the custom fields that need to be visible to all of the folders within the workspace, and click "Apply" to finish:

In your workspace folder: remember to edit the custom field and click 'Update" to any custom fields where a manual rule is applied - for it to apply to that folder.
